How to obtain material not held by Keele Library

If you require an item for your research or study such a journal article, book chapter, thesis or book, that is not currently held by Keele University Library we will attempt to obtain it for you from elsewhere.

For journal articles and book chapters, in the first instance we will try to obtain the item digitally free of charge for you from one of our resource-sharing partners and this service is available to registered Keele staff and students. NHS members should use the Health Library inter-library loans service which is also available to staff and students from the Faculty of Medicine and Health Sciences.

For whole books, theses, and items that we are unable to obtain free of charge from one of our resource-sharing partners we will try to obtain from the British Library and this service does incur a charge. Please note - many British Library services are currently restricted and yet to be reinstated due to a cyber attack in October 2023. Please continue to submit your resource requests as we will try alternative sourcing routes, but note that we may not be able to supply some requests if an alternative is unavailable (updated April 2024).

Before requesting an Inter-Library Loan please check if the item you require is available for FREE from our current holdings by using Library Search.  

  • Search for your article or book chapter on Library Search - If the item shows as ‘Available online’ - good news! We already have access to this title online. Simply click the ‘Available online’ to see the full text access options and notes.

  • You might wish to expand your search to ‘include results with no full-text’ (toggle at the top left of the results filter in Library Search) to see additional resources

  • If the item you require shows ‘No online access’ or ‘Check for available services’ click this link to see the ‘Resource sharing’ option. If you are not already signed in, you will need to click ‘Sign in’ and log in with your Keele username and password to see the option. You may be directed straight to this stage (the ‘Resource sharing’ or ‘Sign-in’ option) if you have clicked through to Library Search from an external provider

  • Select the ‘Resource sharing’ option and you will be presented with a form. Some details may auto populate – please check the details are correct for the item you wish to request and complete any missing fields

  • Read the copyright statement and tick the box to acknowledge you agree to the request terms

  • We will first try to satisfy your request free of charge from one of our resource sharing partners but if we are unable to do so we are then able to apply to the British Library to try to source your item, but this service does incur a charge. If you are willing to pay the British Library request charge, please tick the ‘I am willing to pay should the Library be unable to source this freely’ box
  • Click ‘Send request’
  • If the journal article or book chapter you require does not show on Library Search please complete the ILL request form

Requests for journal articles and book chapters that are satisfied by our resource sharing partners are sent directly to your Keele email address and the service aims to supply your document within 24 hours. Please note that items supplied via this method can only be downloaded a maximum of two times due to copyright restrictions.

Requests for journal articles and book chapters supplied by the British Library will usually take 3 working days and may be delivered to your Keele email address using the British Library’s Secure Electronic Delivery service (SED). To be able to do this you need to have Adobe Digital Editions installed on your device (this is a free download).

Photocopies can be collected from the library service counter, or we can send a photocopy of articles/chapters to the UK address specified on your request form. Items supplied by post are usually supplied in 5 working days.

The charge for Keele staff/students requesting a photocopy of an article from the British Library is £6.00. 

For whole books, theses, and items that we are unable to obtain free of charge from one of our resource-sharing partners we will try to obtain from the British Library and this service does incur a charge.

Before requesting an Inter-Library Loan please check if the item you require is available for FREE from our current holdings by using Library Search.

If the book you require is not available in our current holdings, please complete the Inter-Library Loan request form. As this service incurs a charge, please ensure you agree to the charge by ticking the ‘I am willing to pay should the Library be unable to source this freely’ box as we are unable to proceed without this.

The charge for Keele staff/students requesting a whole book from the British Library is £10.00, renewals are charged at £4.00.
Postgraduate research students should check with their research centre regarding help with costs.

We will email your Keele account when the book is available for you and it can be collected from the library service counter. Some book requests will be for reference use in the library only and they may not be loaned.

Theses and research published by Keele University staff and students can often also be found on the Keele Research Repository, many with full text access and additional access information, such as details of embargoes.

Many UK PhD theses are available from the British Library's Electronic Theses Online Service (EThOS). If the thesis you require is not available via EThOS, please complete the Inter-Library Loan request form.

The charge for Keele staff/students requesting a thesis is £10.00.
Postgraduate research students should check with their research centre regarding help with costs.

We will email your Keele account when the thesis is available for you and it can be collected from the library service counter. Thesis requests will be for reference use in the library only, they may not be loaned.

Please contact the library directly 2 months before this material is needed and note that these requests may attract additional costs as the material can be difficult to obtain. 

Items can usually be kept for 5 weeks, but check the date enclosed in the item when it is issued to you. Overdue Inter-Library Loans will incur fines, but you may be able to renew the item if you need it for longer. Renewals are charged at £4.00 per item.
