Overtime FAQs

Claims for overtime worked can only be accepted for employees paid on Grades 1 – 5 inclusive AND who have the prior agreement of the person with the budgetary responsibility/line manager for the area.

You should enter your overtime claim in Keele People using Employee Self Service (ESS).  Once logged into your ESS you can find the overtime template under the ‘Pay & Benefits’ tab and then ‘Time & Expenses’ and ‘add claim’.  More information can be found in the ESS User Guide – How to enter an Overtime Claim Form on the Payroll & Pensions web page here.

Yes.  All overtime claims will need to authorised by the overtime authoriser/s in your school/department.  Once you have submitted your claim through ESS the authorisation requests will be sent automatically through Keele People.

If your submitted claim has not been fully authorised in time it will be automatically moved into the next pay period (the following month) for payment.

The payroll monthly deadlines can be found on the Payroll & Pensions web page here under the relevant ‘Pay Schedule xxxx’.

Payment cannot be guaranteed if submissions are not processed and authorised by the salaries close deadline.

The system is configured with the appropriate authorisers for your area. Overtime Authorisers are set up by Payroll following confirmation from each school/faculty/department.

The status of you overtime claim will be shown in ESS under the Pay & Benefit tab.

If you are employed on a Full Time basis, the following rules should be followed when submitting an Overtime claim:-

  • All work completed over 36.25 hours per week (weekdays) can be claimed at ‘Time & Half’
  • Saturday & Sunday work can be claimed at ‘Double Time’

  • All work completed up to 36.25 hours per week (weekdays) must be claimed at ‘Single Time’
  • Hours worked over 36.25 hours (weekdays) can then be claimed at ‘Time & Half’
  • Saturday & Sunday work can be claimed at ‘Double Time’ (regardless of whether part time) UNLESS you are NORMALLY required to work on a Saturday or Sunday – then payment at the enhanced rate (‘Double Time’) will only be payable for those hours over 36.25 in the working week.  Overtime hours worked up to 36.25 will be paid at ‘Single Time’.
