Who is responsible for your data?

Keele University is the ‘Data Controller’ of the personal data we hold about you.

Careers and Employability is the ‘Data Processor’ of your personal data.

Why do we store your data?

Careers and Employability offers a free service to students. This service includes but is not limited to:

  • careers information, advice and guidance;
  • career-development workshops and events;
  • careers resources;
  • access to the Careers and Employability jobs board.

How is the information stored?

Your contact information is stored within our secure CRM system, CareerHub, which is hosted in the cloud on servers located in London.  We may also store some records in documents saved to staff OneDrive accounts, managed by Keele University, or documents stored on secure University servers.

Who can access your data?

Careers and Employability is the processor of this information. Your data may be processed by Careers and Employability and by other members of Keele University staff and for the purposes outlined in this privacy notice. Your information may be passed to and processed by third-party partners and funding bodies if you work with us on one of our funded projects.

You can access some of your personal data by going to https://careerhub.keele.ac.uk and logging in using the “Students and Staff” button.

If you need support logging in, please contact careers@keele.ac.uk.

How will we use your information?

We will only use your contact information for the following purposes:

  • to inform you of vacancies that might be of interest;
  • to inform you about opportunities for postgraduate study;
  • to inform you about events to support your career development;
  • to inform you of the ways we provide information, advice and guidance to students;
  • to provide you with information, advice and guidance.

What information do we store?

As a student, Keele University stores identifying information about you which we then process.

This includes your:

  • Name
  • E-mail address
  • Student number
  • Telephone number
  • Address
  • Gender
  • Date of birth
  • Disability status
  • International student status

If we ask you to complete a form, for example to book a place at an exclusive event, we may also store further information obtained to provide an extra service to you (e.g. dietary requirements).

If you have submitted documents to us containing personal details, for example a CV, Covering Letter or Application Form, we will also have the identifying information that you included in those documents.

How long will we store your information?

We will store your data for the length of time specified in our Records Retention Schedule. Please click here to access our Records Retention Schedule.

You can request anonymisation of your record, which will remove all the data that can be used to identify you, earlier than our retention period by contacting careers@keele.ac.uk.

  • careers information, advice and guidance;
